Clerk of the course

Clerk of the course is positive check-in: swimmers report to staging and are marked present before their event. It’s used mainly for championship-style meets where you need to scratch no-shows before seeding the final lanes.

On the check-in screen for an event:

  • Check a swimmer in when they report to staging — this stamps the time.
  • Add a note if needed (e.g. “reported late, ref approved”). Clearing a check-in keeps the note.
  • Set (or clear) the event’s check-in deadline right on the panel — it’s a wall-clock time like 08:45. Swimmers not checked in by then show as overdue.

Overdue is derived on the clerk’s own device from the event deadline versus the clerk’s local clock — there’s no dependence on a server clock, so it stays correct on deck regardless of timezone. At a multi-day meet, the deadline is anchored to the day the event actually runs (its session’s date), so a day-2 deadline doesn’t read as overdue on day 1.

There’s also a printable clerk-of-course sheet (one page per heat, plus an alternates page) — the built-in print plan queues one copy automatically when the meet is seeded, and it can be reprinted any time from Printing & exports.

Check-in changes broadcast live, so the desk and the clerk stay in sync.
