Handling changes on deck

Meets never run exactly as seeded. This page is the playbook for the common mid-meet situations — all of these are normal operations, none require re-seeding the meet.

Use a deck entry from the run screen: pick the swimmer from a participating team’s roster and drop them into an open lane of the event. Deck entries behave like any other entry from that point on.

An entered swimmer isn’t in the water (empty lane)

Use the fill-in picker on the empty lane to swim an unseeded or alternate swimmer in that lane — the result records against the swimmer who actually swam.

  • Fastest: double-click the swimmer’s name in the lane — the picker offers unseeded swimmers to place and seeded swimmers to move or swap.
  • Or use move/swap on the schedule grid, or the heat reassignment dialog on the run screen to shift them to another heat.
  • Empty trailing heats can be added or removed explicitly when you need more room (or less).
  • Before seeding: remove or unseed the entry on the hub’s Details tab.
  • After seeding: leave the lane and record NS (no-show) when the heat runs — or move another swimmer into the lane first (above). At championship-style meets, no-shows are caught at check-in before the event seeds its final lanes.
  • Mid-race problems record as DNF (did not finish).
  • Withdrawing from a final is different: use the finals panel’s Scratch (not NS) so the swimmer’s prelim place and points survive — see Finals & swim-offs.

The Seed tab will let you re-seed a partially-run meet, but it discards the results of re-seeded events and warns you first. Prefer the per-entry tools above once racing has started.

Record DQs with their code as slips come to the desk — the notification bell tracks events that have results but unentered DQ slips, and lists events ready to finalize so nothing is missed. See Results & DQs.

Flagged times (pad/backup disagreement, implausible times, missing lanes) are resolved per lane on the run screen — see The run screen. If the timing feed drops entirely, keep working: type times manually; a later re-import from the timing system wins over manual edits.

A time landed on the wrong lane, heat, or event

  • A time on a lane with nobody seeded shows as an orphan (“No swimmer” + the time): quick-add the swimmer who actually swam it, credit it to a swimmer’s entry in another event (a mixed-heat fill-in — both lanes show the link), or dismiss it as spurious.
  • The timer’s race doesn’t match the heat (started on the wrong event, a re-swim): assign the recorded race to the right heat from the run screen — move it or copy it (the dialog shows what race the heat currently holds) — or use No Race to clear a heat’s recorded times and hand-enter. A single lane’s time can also be reassigned to another lane once its edits are saved.
  • Each event has a history view of recent changes (who/what/when) if you need to reconstruct what happened.

Every edit is conflict-checked. If someone else changed the same heat or event first, you’ll get a “refresh and try again” prompt — refresh, confirm their change, then redo yours if still needed.
